Minutes for AGM 2014 (July 8th 2014)

Members Present

Chairman's Opening Speech & Election of Committee

Chris DM said that he felt the last year had been a good one for the club. Member numbers have increased significantly and he felt the League matches had generally been a success. He resigned as chairman, but volunteered to stand again.
Rob G proposed Chris DM as Chairman again, this was seconded by Peter C and carried unanimously.
Lee resigned as Secretary and did not wish to stand again, Rob W offered to take the post again; this was proposed by Chris DM, seconded by Amy and carried.
Chris DM proposed Ant McMellon as Treasurer, this was seconded by Rob W; elected.

It was proposed that the Social Secretary should have the responsibility of organising the Christmas Party at the very least. Anthony DM offered to fill this post; proposed by Chris DM, seconded by Rob W and duly elected.
It was proposed that we should have a Match Secretary to organise League fixtures; Rob G offered to fill this new post temporarily (as will be moving away) – this was proposed by Chris DM, seconded by Rob W and was duly elected.

Treasurer's Report

Figures for the 12 months ending May 31st 2014 were presented. This should continue to be the Club's normal end-of year to allow for accurate comparisons.

As @ May 31st 2014 the Club's Bank Account balance stood at £1623.06

Income = Membership Subs £3264,00 | Visitor Fees £1170.00 | Xmas Guests £130.55 >> Total £4564.35

Expenditure = Serco (Courts) £3498.90 | Shuttlecocks £50.99 | Xmas Party £ 846.84 | Socials £65.00 | Badminton England £72.00 | Shrops County Badminton £42.00 >> Total £4614.21

Overspend = £49.86

There was a discussion about raising the Membership monthly fee to £15/month. It has been £12 for many years. In view of the additional costs of League fixtures and an increase in membership (with a subsequent decrease in Visitor Fees), this was felt to be appropriate this year and received a unanimous vote. It was felt that £15/month represented excellent value for money.

This will come in to force from beginning of September 2014.

It was also agreed that, if a Member cannot play for over a month due to injury or illness (only), then they could freeze their membership fees until they returned. This would have to be in full monthly increments. It is up to the member concerned to notify the committee and cancel their own Standing Order. No refunds can be given. If a return to play was made in the middle of a month, Visitor fees would need to be paid for those weeks.

It was agreed that Visitor Fees should remain unchanged at £5/session.

Court Arrangements

It was felt that having four courts for the whole two hours was working well. There was discussion about maybe extending the booking to keep two courts for an extra 30 minutes from 9.30pm to 10pm; this was felt to be too expensive for the benefit of a few players.

League Matches

It was generally felt that playing in the LEague had been a success. It was propsed to forward one Men's Team and one Mixed Team for next season. Amy remarked that Carlson would make a good lady if they were short.
If necessary, the Club might consider booking one court for an extra 30 minutes on Match nights.

Social Activities

The newly elected Social Secretary proposed that everyone should pay a £10 deposit for their Xmas Party ticket (refundable). This is to ameliorate the effect of members not turning up on the night. This should apply to other socials that involve booking tickets. This was unanimously agreed.
Suggestions for social activities again included Go-Karting, 10-pin bowling, pub outings and maybe a trip to a Badminton tournament.

Club Tournament

This has been arranged for July 22nd 2014.

Club Shirts

There was generally little enthusiasm for Club Shirts at this meeting; again some disagreement on colour and logo.
It might be good to have a Team Shirt for matches perhaps. Shirts not to be white and maybe no logo but just embroidered text on the shirt.
It was agreed to discuss this again at the next AGM.
